2021 Eastern Region New Member Weekend Convention-October 22-24 Camp Weaver, Greensboro, NC 

ATTENDEES:  All 9th and 10th graders in Eastern Region BBYO from Virginia, North Carolina and Southeast Councils (South Carolina and Southern Georgia) along with our Council Morim and Presidents, selected group of upperclassmen trainers, BBYO staff and advisors.

PURPOSE: New Member Weekend is a convention planned specifically for 9th and 10th graders in BBYO. Programming during the weekend will revolve around the basics of BBYO: programming, history, and how chapters function. For those that attended virtual New Member Weekend last year, we ensure that your New Member Weekend experience this time around is a new and fun time! The participants will have the opportunity to meet other Jewish teens from North Carolina, Virginia, South Carolina and southern Georgia, learn all about BBYO and have a great time. 

COST AND REGISTRATION: The cost of the convention is $235 (not including transportation). Registration is open & will close on Sunday, October 10th at midnight.  

TO REGISTER: Go to https://bit.ly/EASTERNNMW2021 and fill out our secure registration form. Make sure you are answering all questions.  If you are having a problem registering, please call the regional office at 704-944-6834 and we will be happy to take your payment over the phone. Refunds will not be given if you cancel the week of the convention.      

SCHOLARSHIPS: Scholarships are available for New Member Weekend Convention. The deadline to submit scholarship applications is Sunday, October 3rd at midnight. The scholarship form must be completed online at: https://bbyo.org/scholarship-form. Each family will be contacted, via email, by the regional office with the amount of scholarship awarded by Thursday, October 7th. Once you accept the scholarship, the regional office will register you for the convention and then you can pay the balance. If you are requesting scholarship money, please do not register online until awards are announced.   

HEALTH REQUIREMENTS AND FORMS:Beginning in August 2021, BBYO is requiring all teens, staff, and advisors attending any overnight programs (chapter, city, council, regional, and international programs) based in the United States to be fully vaccinated (vax date plus two weeks). Currently, Moderna, Pfizer, Astra Zeneca, or Johnson & Johnson are the accepted vaccines.

  1. If your teen attended a BBYO summer program and has already uploaded their vaccination card to CampDoc, BBYO will transfer that over to their MyBBYO account so you do not need to do anything
  2. If your teen did not attend a BBYO summer program, follow these steps:
    1. Go to bbyo.org and sign into your account
    2. Under program alerts, you will see vaccine acknowledgement with the name of each of your teens and a button for the waiver
    3. Click on complete waiver
    4. Please read through entire waiver, sign and click submit
    5. Reminder: this will NOT show up on a teen account only a parent account

 

BBYO works with CampDoc, the leading electronic health record system.  All participants and parents are required to complete a health file before attending a BBYO convention. Once you have registered for the convention, you will receive an email inviting you to join CampDoc. Accept the invitation and complete or update all forms. These forms provide dietary, medical and other important information. Teens will not be allowed to attend without a complete profile. 

SUPERVISION: The convention will be staffed by BBYO professionals and chapter advisors. There will be 1 staff person for every 15 teens.   

ACCOMMODATIONS AND WHAT TO BRING: Please bring toiletries, sleeping bag, pillow, towel, nice clothes for Friday night Shabbat, a plain white T-shirt and clothing for inclement weather. Besides Shabbat, the attire for the weekend is casual. The teens will be staying in heated cabins. The food will be kosher style – no mixing of milk and meat. When meat is served it is kosher.

ARRIVAL/DEPARTURE/TRANSPORTATION: Registration will begin at 6:30pm and dinner will be served at 8:00pm on Friday, October 22nd. The convention will end on Sunday, October 24th at noon. Your local staff will help arrange transportation. A transportation and logistics email will go out one week prior to convention and will include transportation costs and timing for each city. Transportation cost is not included in the convention fee. Teens are never allowed to drive to BBYO conventions.  Once we have our final registration numbers, we will be looking for parents to help transport teens from our smaller communities and Southeast Council.
