What is B'yachad Convention?

Welcome to the NTO Carnival! This term's Regional Convention will be called B'yachad, meaning togetherness. We want this convention to rely heavily on Jewish values while helping to create a sense of community in our region. Your Weekend Coordinators will be the 38th Regional S'ganim and Shlichim, Taylor Levy Josh Rajunov, Shayna Rubinstein, and Harrison Buchhalter.

This convention will be open to all BBYO members (9-12 grade) to create meaningful Jewish experiences, community, and unforgettable experiences.

This is NTO's biggest convention of the year! It's an overnight event packed with everyone's friends having the best time. It's an opportunity to unplug, learn, connect, and celebrate the fact that we are all in this together.

Conventions are a space where new members of the community can feel the energy and love of a global movement. A space for like-minded people to belong and learn new ideas, so they’re inspired to create the work that’s within them.

What will we do at Regionals?

We will celebrate Shabbat through Friday night and Saturday morning services as well as Havdalah on Saturday night. We will learn more about BBYO Summer, teens will attend various breakout sessions, and spend the night dancing and celebrating at NTO's Carnival!  We will host our annual sports tournament (AZAA & BBGG) at Sportsplex.

These forms provide dietary, medical, and other important information. Teens will not be allowed to attend conventions without completed forms.

*These forms need to be completed once annually. Many of you likely need to log on to your accounts and update your CampDoc profiles. Should you need any assistance, please contact Courtney at [email protected].

TRANSPORTATION: Round-trip transportation will be arranged for Tulsa teens. Dallas teens need to be dropped off and picked up at the hotel. Teens can not drive themselves to the convention.

Q&A

Questions? Contact the BBYO office: [email protected]

HOW ARE ROOMMATES MATCHED UP?

Teens are allowed to submit up to three requests as the hotel rooms at this convention hold 4 people. The team will do our best to guarantee that everyone receives at least one roommate request. All roommate requests that are mutual will be honored for filling a full room. We typically put pairs of mutual requests together with other pairs. We will make sure that those without mutual requests are in rooms with teens from their chapter and/or their grade.

If there are issues going on with teens outside of BBYO, we appreciate knowing that information as soon as possible so we can set up our teens for success at all of our events. We are required to submit our guest list to the hotel 14 business days before the event, so any late registrations we allow may not get their roommate preference.

WHAT ARE THE MEALS LIKE? WHAT IF I HAVE A DIETARY RESTRICTION?

All BBYO meals are Kosher Style with vegetarian and vegan options. We ask for allergy information and food needs on the online medical form and we appreciate you sharing information as soon as possible so that we can accommodate specific food needs and limitations. All BBYO conventions are peanut, sesame seed, and tree-nut free.

WHAT IS THE CANCELLATION/REFUND POLICY?

The deadline to cancel with a full program refund is the final registration deadline for this program (October 19th). Until that date, full refunds will be granted for cancellations in writing (e-mail is acceptable), for any reason. On October 20th we will have confirmed final counts with our vendors, and no refunds will be given. “No shows” will not receive a refund.

WHAT IS BBYO'S DISCIPLINE POLICY?

As a reminder, when you registered for membership you signed BBYO’s Code of Conduct, which outlines our policies for substance abuse, property damage, and behavior guidelines with the full understanding of our behavioral expectations as a member of BBYO. Rules and guidelines will be made clear to all participants upon their arrival at the convention opening. Should one of our teens choose to act outside of our Code of Conduct, the incident will be addressed by the appropriate staff members. We have a zero-tolerance approach to any violation of the Code of Conduct and any disciplinary matter that comes to the attention of staff. If you are (or your teen is) dismissed from BOTC for disciplinary reasons or Code of Conduct violations, BBYO staff will arrange for travel home immediately, at your family’s expense and without a refund.

WHAT ARE THE COVID PRECAUTIONS/POLICIES?

We do not have the entire hotel blocked/reserved when it comes to guest rooms and hotel amenities. We will likely have a block of rooms for teens and staff, but that will not be finalized until after registration closes on October 19th. When heading to their rooms, they will likely see other guests in the elevators and on their floors.

Below are the current COVID protocols we have in place though they are subject to change based on local laws, regulations, and guidance:

  • All adults present at the convention must be vaccinated (staff, advisors, speakers, and other volunteers)
  • All teens attending this convention (or any other overnight experience) must be fully vaccinated by Friday, October 21st.
  • The following vaccines are recognized by BBYO - Pfizer, Moderna, Johnson and Johnson, AstraZeneca, and Novavax.  Everyone is encouraged, but not required, to be boosted for COVID-19
  • Prior to an overnight program at the regional level, all participants (teens, staff, volunteers, speakers) are required to provide documentation (a photo is acceptable) of a negative rapid/antigen test taken on the day of travel.  Home tests will be accepted for regional conventions. We will be checking the at-home test at registration on-site at the hotel.
  • Exceptions to these requirements may be made on an individual basis upon review by BBYO’s medical committee and must be submitted at least 14 days before the program. BBYO reserves the right to adjust these policies at any point.
  • BBYO reserves the right to test any participant
  • Parents must complete the updated vaccination waiver for each of their teens by Friday, October 21st. There are two ways to complete the form:
    1. Log into your MyBBYO account at bbyo.org
      • Go to "Vaccine Acknowledgement" under "Program Alerts"
      • Click "Complete Waiver" for each teen
    2. Go to bbyo.org/waivers/vaccination-acknowledgement and complete the form
  • Teens will not be able to complete this form as it is only available on parent accounts. Once this form has been completed, it will carry over for all future events.
