Spring Cultural Convention gives the NC chapters an opportunity to compete against each other in a series of creative, academic and athletic events over the course of the weekend in addition to honoring our outgoing council presidents, our seniors and electing the 29th North Carolina Council Board. Chapters spend time preparing for the events prior to the convention. This is the perfect setting for NC Council to show their “Chapter Pride.” On Sunday, April 7th , the 29th NC Council AZA and BBG boards will be elected.

TRANSPORTATION 

 

Transportation arrangements will be made by individual cities. Contact your local Advisor/City Director for details. The cost of transportation is not included in the registration fee.

All 8th – 12th grade BBYO members from North Carolina Council  

  

PURPOSE

Chapters spend time preparing for the events prior to the convention. COST and REGISTRATION  

 

Registration will open on Monday, February 1st  and will close on Sunday, March 24th  at midnight. The price of the convention is $130.

 

  • While registering for the convention, please make sure to answer all questions such as: housing request (non-Charlotte only) and any food or medical allergies.
  • If you are a Charlotte Family, please fill out the Housing Form linked in the registration form
  • If you are having a problem registering, please call the regional office at 704-944-6834 and we will be happy to take your payment over the phone.  

 

Cancellation Policy - The deadline to cancel with a full program refund is the final registration deadline for this program. Until that date, full refunds will be granted for cancellations in writing (e-mail is acceptable), for any reason. After the registration deadline (March 24th) partial refunds up to a week before the program may be available to be applied to a future program (in the same school year) based on convention expenses already paid (food, activities, transportation, etc.). Within one week of convention we’ve already confirmed final counts with our vendors, and no refunds will be given 

 

 

SCHOLARSHIPS

 

Scholarships are available for Spring Cultural and all scholarship requests must be submitted by Sunday, March 17th.  No late requests will be considered. BBYO is now using a secure website to process all scholarship requests. All information must be completed and if you are requesting more than 25% of the convention costs, your most recent tax information must be uploaded. Each family will be contacted, via email, by the regional office with the amount of scholarship monies awarded by Monday, March 18h.   Once you accept the scholarship, the regional office will send you information to complete your registration. 

If you are requesting scholarship money, please do not register on line. 

 

REQUIRED FORMS 

 

BBYO has developed a relationship with CampDoc, the leading electronic health record system.  All participants and parents are required to complete a health file before attending a BBYO convention. Camp Docs only has to be completed once a year. If the teen has already attended a regional convention this year just update the forms if there are changes in the medical information you provided. If this is the teen’s first convention this year, once you have registered for the convention, you will receive an email inviting you to join CampDocs. Accept the invitation and complete all the forms. These forms provide dietary, medical and other important information. CampDoc forms must be completed by  

 

HOUSING 

 

Spring Cultural is a home-housed convention meaning Charlotte BBYO families will host the teens from out of town in their homes for the weekend. All events will be held at the Levine JCC but the teens will sleep with their host families. BBYO will provide dinner upon arrival on Friday night, lunch on Saturday and lunch on Sunday.  

  • We request that all Charlotte BBYO families, with teens participating in the convention, open their home to our out of town guests. Housing teens makes the weekend more fun and can foster lifelong friendships.  
  • Charlotte families must complete the digital Housing form by Sunday, March 17th.  BBYO will manage and assign all housing arrangements –Charlotte teens can request an out of town teen to stay at their house and out of town teens can request a home to stay in.   

 

ARRIVAL/DEPARTURE 

 

Registration will begin at 5:30 PM on Friday, April 5th  and dinner will be served at 6:00 PM. The convention will end on Sunday, April 7th at 3:00 PM.
